10 ATS Optimization Tips That Actually Work

Learn how to format and structure your resume to pass through applicant tracking systems.

Applicant Tracking Systems (ATS) are the gatekeepers of modern hiring. Over 98% of Fortune 500 companies use ATS to filter resumes before they ever reach human eyes. If your resume doesn't pass ATS screening, it doesn't matter how qualified you are—you won't get an interview. Here are 10 proven strategies to optimize your resume for ATS success.

1. Use Standard Section Headings

ATS systems are programmed to recognize standard resume sections. Using creative headings can confuse the parser and cause your information to be misclassified or missed entirely.

✓ Use These:

  • • Work Experience
  • • Education
  • • Skills
  • • Professional Summary
  • • Certifications

✗ Avoid These:

  • • Professional Journey
  • • Academic Background
  • • Core Competencies
  • • About Me
  • • Qualifications

2. Mirror Job Description Keywords

ATS systems rank resumes based on keyword matching. The more relevant keywords from the job description you include, the higher your score.

Pro Tip

Copy the job description into a word cloud generator or extract key terms manually. Then naturally incorporate these terms throughout your resume, especially in your skills section and work experience bullets.

3. Avoid Complex Formatting

While visually appealing resumes might impress humans, they often confuse ATS parsers. Keep formatting simple and clean.

  • No tables or columns: Use single-column layouts
  • No graphics or images: Logos, charts, and icons aren't parsed
  • No headers/footers: Information in headers/footers may be missed
  • Simple bullets: Use standard bullet points (•) not special characters
  • Standard fonts: Arial, Calibri, Times New Roman, or Georgia

4. Use Both Abbreviated and Full Terms

Different ATS systems may search for different variations. Cover your bases by including both.

Example: "Certified Public Accountant (CPA)" or "Search Engine Optimization (SEO)" or "Master of Business Administration (MBA)"

5. Optimize Your Skills Section

Your skills section is prime real estate for keyword optimization. List skills exactly as they appear in job descriptions.

Effective Skills Section Format:

Technical Skills: Python, JavaScript, React, Node.js, SQL, AWS, Docker, Kubernetes

Software: Salesforce, HubSpot, Tableau, Microsoft Office Suite

Certifications: PMP, AWS Certified Solutions Architect, Google Analytics

6. Include Quantifiable Achievements

Numbers and metrics not only impress humans but also help ATS systems understand the scope of your impact. Use specific numbers whenever possible.

✓ Good:

"Increased sales by 35% ($2.4M annually) by implementing new CRM system"

✗ Bad:

"Helped increase sales through better customer management"

7. Use Standard Date Formats

Consistent date formatting helps ATS systems correctly parse your employment timeline.

Recommended Format:

Month YYYY - Month YYYY (e.g., "January 2022 - March 2026")

Or: MM/YYYY - MM/YYYY (e.g., "01/2022 - 03/2026")

8. Save as Text-Selectable PDF

PDFs are preferred, but they must be text-selectable, not scanned images. ATS systems can't read images.

How to Check

Try selecting text in your PDF. If you can highlight and copy text, it's text-selectable. If not, recreate the PDF from your original document.

9. Keep File Name Simple

Your resume filename should be professional and simple. Avoid special characters that might cause upload issues.

✓ Good Filenames:

  • • JohnSmith_Resume.pdf
  • • JaneDoe_MarketingManager.pdf
  • • Resume_JohnSmith_2026.pdf

✗ Avoid:

  • • My Resume (Final) (2).pdf
  • • Resume_John_Smith!!!.pdf
  • • John's Resume 2026.pdf

10. Test Your Resume

Before submitting, test your resume with ATS checker tools. Many free tools can show you how an ATS would parse your resume.

Testing Checklist

  • ✓ All sections are properly parsed
  • ✓ Keywords are detected
  • ✓ Dates are correctly formatted
  • ✓ Contact information is extracted
  • ✓ Skills are recognized
